How to Submit a Credit Note in PDF Format

  • Updated

Submitting a credit note in PDF format follows the same process as submitting an Hourly Fee PDF invoice.

👉 Before you begin, make sure you follow all standard steps in the
How to Submit an Hourly Fee PDF Invoice guide.

There are a few important differences to remember when submitting a credit note.

Key Differences for Credit Notes

1️⃣ Enter negative values in Brightflag

All values must be entered as negative numbers when submitting a credit note.

⚠️ Important
The negative amounts entered in Brightflag must exactly match the values shown on the PDF.

2️⃣ Your PDF must clearly show it is a credit note

Your PDF must clearly indicate that it is a credit note.

The PDF must:

  • Display a negative total, matching the total entered in Brightflag

  • Clearly include the words “Credit Note” on the cover page

3️⃣ Submit the credit note as a standalone document

Credit notes must be submitted separately from invoices with charges.

⚠️ Warning
Do not include a credit note in the same submission as invoices with positive amounts.
Submitting them together can block or delay processing.
