How to Submit a Timekeeper Matter Rate

Where to Start

  1. Go to Menu > Timekeepers.

  2. Click Bulk Submit in the top right corner.

  3. Click Download Template to save the Excel template to your computer.

Complete the Template

Complete the "Timekeeper Rates" tab to submit new timekeepers. If different rates apply to different matters, repeat the timekeeper's details on additional rows and enter a different Client Matter ID on each row.

Timekeeper ID

Required

Unique identifier for the timekeeper. Reuse the existing ID if this person is already set up in Brightflag.

First Name

Required

Timekeeper's legal first name.

Surname

Required

Timekeeper's legal surname.

Role

Required

Select from the dropdown. The list reflects the client's approved role classifications. Free text is not accepted.

Location

Required

Select the timekeeper's office location from the dropdown. Free text is not accepted.

Practice Area

Required

Select the timekeeper's practice area from the dropdown. Free text is not accepted.

Rack Rate

Required

Standard published rate before any discount, as a number (no currency symbol).

Currency

Required

3-letter ISO currency code, e.g. USD, EUR, GBP.

Effective Date

Required

Date the rate takes effect, in YYYY-MM-DD format.

Reason for Request

Optional

Short free-text reason for the rate change, e.g. Promotion, Annual Increase.

Years of Experience

Required

Timekeeper's years of post-qualification experience, as a whole number.

Client Matter ID

Required

Enter the 'Client Matter ID' for the rate the matter relates to. Reach out to your client to confirm this value.

Proposed Rate

Required

The rate being proposed or submitted for approval, as a number (no currency symbol).

Upload and Submit

  1. Return to Menu > Timekeepers and click Bulk Submit.

  2. Click Browse and select your completed template.

  3. Click Submit.

Important Rules

  • Do not rename, remove, or reorder any columns, sheets, or the file itself. Any formatting changes will cause the upload to fail.

  • Rates must be approved by the client before they can be used on invoices.

  • Brightflag Support cannot approve rates.
